Preparing for the Installation

The FaxPress Lotus Notes Gateway installation is a two part process, requiring you to run:

1. the Domino/FaxPress Integration Script setup, installed on the Domino server.
2. the FaxPress Lotus Notes Gateway setup, installed on the Lotus Notes Gateway machine.

Following the installation, the Basic Configuration steps (see Configuring the Lotus Notes Gateway Configuring the Lotus Notes Gateway Configuring the Lotus Notes Gateway) must also be completed for the Gateway to be operational.

The FaxPress Lotus Notes Gateway can also be used without the Domino/FaxPress Integration Script installed on the Domino server. See Using the Gateway without the Integration Script Lotus Notes Environmentsfor details.

The Domino/FaxPress Integration Script

The Domino/FaxPress Integration script integrates FaxPress functions with the Domino server by modifying the Mail template. Running the Domino/FaxPress Integration Script setup copies the faxpress.nsf and Mail50.ntf files to the Lotus\Domino\Data directory and distributes a new, fax-enabled mail template to all Notes mail users, as well as installing the FaxPress Lotus Notes Admin Console utility. Depending on the Mail template you’re currently using with the Domino server, you’ll install the Domino/FaxPress Integration Script using either:

the standard installation program on the FaxPress software CD, documented in Integration Script Setup for Standard Mail Templates.
the manual installation procedure, documented in Integration Script Setup for Non-Standard Mail Templates.

The Integration script must be manually installed when:

a template other than the Standard Mail template (mail50.ntf, based on Lotus Notes 5.0) is being used.
the mail50.ntf mail template has been customized with non-default settings information.
the Domino server is running on a non-Windows platform (i.e. AS400, AIX, Linux etc.).

Using the Gateway without the Integration Script

You can also elect not to install the Domino/FaxPress Integration Script. The Gateway will still function without the Domino/FaxPress Integration Script installed on the Domino server, but users will not have access to fax forms in their Notes clients, and will instead have to use a manual fax addressing format to specify fax job options and send faxes. The Lotus Notes Gateway Setup

Running the Lotus Notes Gateway setup copies the Gateway files and creates a new FaxPress Lotus Notes Gateway service on the Gateway workstation. The Lotus Notes Gateway setup is described in Installing the Lotus Notes Gateway.

System Requirements

The FaxPress Lotus Notes Gateway requires the Domino server and client versions 4.51 or higher.

Before beginning either the Domino/FaxPress Integration Script setup or the Lotus Notes Gateway setup, make sure:

at least one FaxPress server is installed and operational.
a Domino mail server is installed and operational.
another FaxPress Gateway product is not installed.
the Notes client software is installed on the Gateway workstation. This Notes client software must have permissions to access any Domino servers the Gateway will access.

Correct Order of Installations, With Correct User Name

It is essential that the SAME user is registered as the one running the Email Gateway and all of the applications used for attachments that will be sent via the Email Gateway as faxes. To achieve this goal, take the following steps, in exactly the indicated order.

1. Create an account for a unique user on the Lotus Notes Mail server. The server should be a dedicated machine that will be used for the FaxPress Email Gateway system. The username could be, for example, FaxGateway. This name will be used in the following steps.
2. Log onto the dedicated machine and create a local user account for FaxGateway, the user you created in Step 1. Make FaxGateway an Administrator of the local dedicated machine, and give FaxGateway administration rights and permissions on the local machine.
3. Log onto the dedicated FaxPress Email Gateway system as FaxGateway.
4. Install Lotus Notes Client Software, then the Microsoft Office suite of applications (or the Lotus Notes Suite), on the dedicated FaxPress Email Gateway system. Launch Lotus Notes, and then each of the Office applications, and complete all registration requirements, so that no registration dialog boxes open when you re-launch each application. Go through the same installation and launching procedure for Adobe Acrobat and any other applications that will be needed for attachments that may be faxed.
5. Install the FaxPress 9.x software on the dedicated FaxPress Email Gateway system. Uninstall any previous version before installing the latest version.
6. Install the FaxPress Email Gateway software on the dedicated Email Gateway System by running FaxPress Email Gateway setup.

Customized Mail Templates

The FaxPress Lotus Notes Gateway supports non-standard, customized Mail templates, but doing so requires a setup procedure different from the one used for standard Notes mail templates (see Integration Script Setup for Non-Standard Mail Templates Lotus Notes Environments), or, in the case of the iNotes Web Access Mail template, requires users to manually address their fax messages (see Using the Gateway without the Integration Script Lotus Notes Environments).

Customized mail templates include any mail template other than the Standard Mail template (mail50.ntf, based on Lotus Notes 5.0), or a Standard Mail template with modified, non-default settings. Domino servers running on a non-Windows platform (i.e. AS400, AIX, Linux etc.) must also be treated as though a non-standard Mail template were being used.

Preparing the Domino Server

Before beginning the FaxPress Lotus Notes Gateway installation, make sure both the Domino server and client applications are updated to version 4.51 or later.

The user performing the configuration involved in the Domino server setup must have the following access rights:

Manager access rights in the ACL of the standard mail template (mail50.ntf) file.
Manager access rights in the ACL of the Notes Public Address Book (names.nsf.)
Ability to create both new and replica databases on the Domino server.
Ability to create and modify Group documents in the Notes Public Address Book (names.nsf.)
Ability to create and modify a fax foreign domain document in the Notes Public Address Book.
Ability to run unrestricted Lotus Script and Java agents on the Domino server that will host the gateway databases.

Preparing the Gateway Workstation

Be sure to install the FaxPress Lotus Notes Gateway on a Windows 2000/2003/NT workstation or server other than the one running the Domino server.

The workstation or server used for the FaxPress Lotus Notes Gateway must meet the following minimum specifications.

Windows NT 4.x/Windows 2000 or 2003/Windows 2000 Professional/Windows 2000 2003 Server/Windows XP
a Pentium 133 MHz processor
128 MB of RAM
minimum 100 MB of free hard disk space. The amount of hard disk space required depends on fax traffic volume. High volume situations require a dedicated higher spec workstation, e.g. Pentium II 266 MHz, 256MB of RAM, 200 MB of free hard disk space.

The workstation used for the FaxPress Lotus Notes Gateway must also have:

the FaxPress client installed and operational. The client is required for file conversion.
the Lotus Notes client installed and operational.
all application software required to provide native attachment support installed and operational. Ideally, use the Lotus Notes Gateway’s Administrator account to install these applications. (See Native Attachment Applications Lotus Notes Environments.)

Preparing the Gateway’s Service Account

The FaxPress Lotus Notes Gateway logs onto the network as a service with a Windows user account specified during setup. The user account must have administrative rights on the workstation where the FaxPress server software is installed.

The workstation’s default Administrator account for the Lotus Notes Gateway is recommended for this purpose. If, however, you don’t want to use that account for the Lotus Notes Gateway service, you must create or designate an account with Administrator privileges for the Lotus Notes Gateway’s use. You should use this Administrator account to install any applications the FaxPress Lotus Notes Gateway will use to convert attachment files to faxable format. This way, the Lotus Notes Gateway will have access rights to and launch permissions for all local applications, DLLs and files.

If you decide to create an Administrator account specifically for the Lotus Notes Gateway, make sure you log on to the Lotus Notes Gateway workstation at least once using this new Administrator account to allow the Lotus Notes Gateway to convert attached files. Logging on initializes the HKEY_CURRENT_USER registry keys and printer entries, and confirms the Lotus Notes Gateway will be able to convert attached files using the new Administrator account.

Assigning the Lotus Notes Gateway a Windows NT/2000/2003 account that lacks full administrative permissions to the Lotus Notes Gateway workstation will cause the Lotus Notes Gateway service to fail.

Preparing the Gateway’s Client Account

The FaxPress Lotus Notes Gateway requires a dedicated Notes client account for logging on to the Domino server. This dedicated client account must have access and email communication with the Domino server. The account must be up and operating before running Domino Server setup and Notes Gateway installation.

The Lotus Notes client software installed on the Gateway workstation should not be used to log into any Notes account other than the account created specifically for the Lotus Notes Gateway.

The Lotus Notes Gateway’s Notes client account should be dedicated for the Lotus Notes Gateway functions and should NOT be used for other purposes.

Using the Lotus Notes Gateway’s Notes client account for purposes other than those of the Notes Gateway’s will cause the Lotus Notes Gateway service to temporarily cease functioning or to fail entirely.

Native Attachment Applications

The FaxPress Lotus Notes Gateway converts fax-addressed email messages to faxable format, then passes them to the (Undefined variable: FPGatewaysSMTPW.Product name) server for processing. The Lotus Notes Gateway opens attached files in its native, associated application, then converts it to faxable format.

For the Lotus Notes Gateway to provide native attachment support, the FaxPress Lotus Notes Gateway NT service must have access and launch permissions for all pertinent applications, DLLs and files. To prevent failed file attachments, make sure software application versions are consistent across the network.

Output files from applications that support the Shell execute method may also be successfully attached. To determine which native attachments may work with FaxPress:

1. Select the file in Windows Explorer.
2. Right-click to display a context menu.

Select the Print option. (If no Print option is present, FaxPress will not support the attachment.)

If the associated application launches and the file prints, then it is likely a FaxPress native attachment.
